The Girteka Group has introduced a digital payment system that fundamentally changes the management of travel-related expenses for professional drivers. By implementing the "Payhawk" solution, the logistics service provider is modernizing its processes and simultaneously enhancing trust and security for more than 6,000 drivers in European long-distance transport.
Payhawk enables the use of virtual and physical payment cards, which are each activated for the duration of a specific tour. These cards can be used to directly settle approved expenses such as parking fees, car washes, minor maintenance, and selected toll costs without the need for advance payments. For truck drivers who face unpredictable challenges such as toll fees, last-minute hotel stays, or vehicle repairs on a daily basis, the new system provides significant relief.
"Technology in logistics should support people and not make their work more difficult," said Mindaugas Paulauskas, CEO of Girteka Transport. "This project reflects our commitment to making the daily tasks easier for our drivers while simultaneously building a smarter and more transparent system for the company."
Payment Processing via Mobile App
Payment processing is carried out through a mobile app, where receipts are immediately uploaded and checked in real-time by dispatchers. For unforeseen expenses, a temporary credit limit increase can be requested via the app – a feature that allows for quick decisions within minutes. The system's transparency enhances control and reduces the risk of misuse: every expense item is tied to a pre-set budget.
“At first, it took some getting used to, as with anything new,” says Roman, a professional driver. "But now it is very convenient. I can easily separate business and personal expenses, and if something unexpected happens, it is resolved much faster. I feel better supported by the company."
In addition to improving the daily work life for drivers, the administration also benefits: Manual reimbursement procedures and paper-based processes are eliminated, and the finance department gains immediate insight into all transactions. This makes it possible to streamline internal processes, reduce response times, and make operational decisions based on current cost data.
Currently, more than 500 drivers are already using the new system - by the middle of the year, the number is expected to increase to over 3,000. The initiative is part of a comprehensive transformation program with which Girteka aims to create a digitalized, efficient, and driver-oriented logistics environment.
